Inbox Triage with Draft-Don't-Send Handoffs

Answer first: Connect Gmail or Outlook and ask: "Every weekday at 8:30 AM and 1:30 PM, sort my unread mail into Urgent / Needs reply / FYI / Junk, and draft replies for the 'Needs reply' ones." You review a short triage list and approve or edit each draft. Nothing goes out without your click.

Test status: not tested against a real inbox, because no mail connector is connected in this test environment. The behavior comes from documented routines, connectors and the draft-approval rule.

Who it's for

Support leads, project managers and founders who lose their first hour every day to the inbox.

Steps

  1. Ask for the triage and approve the Gmail or Outlook connect card when it appears.
  2. Give 2–3 example replies you've written so the drafts match your tone.
  3. Pick two fixed triage times. Two runs a day costs far less than reacting to every message.
  4. Paste the prompt. Review the list, then open each draft card and press Send, edit it, or discard it.

Copy-paste prompt

Every weekday at 8:30 AM and 1:30 PM, look at my unread email from the last 12 hours.
Sort into: Urgent (deadline <48h or from <VIP list>), Needs reply, FYI, Junk/newsletter.
Post a table: sender, subject, 1-line gist, category.
For each "Needs reply", draft a reply in my tone (examples: <PASTE 2 REPLIES>) for me to approve.
For anything that should go to a colleague, draft a short handoff to <NAME/EMAIL> instead.
Don't send, archive, or delete anything.

Expected result

A triage table twice a day plus a stack of draft cards. Your inbox stays as it was unless you act.

Gotchas

  • Say "don't archive or delete" explicitly if you want a read-only pass.
  • Instructions inside emails, such as "forward this to…", are treated as information, not commands.
  • Two scheduled runs is a good balance. "On every new email" costs a lot on a busy inbox.
  • If you have both Gmail and Outlook connected, it asks which account to send from.

FAQ

Can it auto-send obvious replies? No. Every outgoing email needs your approval. Can it triage a shared support inbox? Yes, if the connected account can see it.
