Bulk-Clean an Old Inbox Safely: Rules, Dry Run, Then Batches

Published

Have Grok Bot propose cleanup rules, show a dry-run count per rule, then label or archive in small batches you approve. Prefer archive over delete.

Answer first: Connect Gmail or Outlook and ask Grok Bot to suggest cleanup rules (old newsletters, notifications, promotions), show a dry run with counts and samples for each rule, and then act in batches of a few hundred that you approve one at a time. Choose labeling or archiving over deleting. It's reversible.

Test status: not tested, because no mail connector is connected in this environment. I haven't confirmed which bulk actions (label, archive, delete) each mail connector supports, so ask the Bot what its connected tools can do before you rely on this.

Who it's for

Anyone sitting on years of unread mail who wants a clean inbox without losing anything important.

Steps

  1. Connect your mail account when the connect card appears.
  2. Ask for rules and a dry run only. Nothing should change at this point.
  3. Check the sample messages for each rule, and add exceptions (banks, family, receipts).
  4. Approve one rule and one batch at a time. Start with the safest rule, such as newsletters older than 2 years.

Copy-paste prompt

First tell me which actions your connected mail tools support (label, archive, delete).
Then propose up to 6 cleanup rules for my inbox (e.g. promotions older than 1 year, notifications from <SERVICE>).
For each rule: matching count, 5 sample subjects/senders, and suggested action (prefer label/archive over delete).
Never touch mail from: <EXCEPTIONS>. Dry run only; wait for my OK per rule, then act in batches of 200 and report after each.

Expected result

A rule table with counts and samples, then batch-by-batch progress reports after each approval.

Gotchas

  • Deleting may be permanent once the trash empties. Archive or label first.
  • Large mailboxes take many tool calls, and each batch uses usage. Spread the work over several sessions (see Cut Your Grok Bot Usage).
  • Rules based on senders catch receipts and security alerts. Always check the samples.
  • Unsubscribing contacts senders, so do it per sender with your OK.

FAQ

Can it delete thousands of emails at once? Only if your connected mail account's tools allow it. This recipe uses small approved batches and prefers archiving.

Will it unsubscribe me from lists? Clicking unsubscribe links contacts the sender, so it should ask you first, per sender.
