Lead Qualification: Research New Leads and Draft Responses

Answer first: When a lead email or form webhook arrives, have a Grok Bot routine research the company from public pages, score it against your ideal-customer criteria, and draft a reply with 2–3 qualifying questions. You approve the reply. The lead's summary lands in chat, or in a CSV or spreadsheet it keeps up to date on its computer.

Test status: not run end to end. Webhook and email triggers come from the official Routines docs (webhook calls need Authorization: Bearer <key>, and a 200 response means a run started). Public page fetching works. No CRM was connected.

Who it's for

Founders and small sales teams who reply to inbound leads hours or days late.

Steps

  1. Write your ideal-customer criteria: company size, industry, budget signals, and things that rule a lead out.
  2. Choose a trigger. An email routine on your form tool's sender works, or a webhook trigger: open the routine and copy POST to and key into your form tool's webhook settings.
  3. Paste the prompt. Send a fake test lead to check the result.

Copy-paste prompt

Set up a routine with a webhook trigger. Each call has a JSON body with name, email, company, message.
Research the company from its public website (and public X if it has an account).
Score 0-10 against: <ICP CRITERIA>. Disqualify if: <RULES>.
Post a summary here: score, why, company 1-liner, source links.
Append a row to leads.csv (date, name, company, score, status).
Draft a reply to the lead with 2-3 qualifying questions for me to approve. Don't send it.

Expected result

A summary in chat within minutes of each lead, an updated CSV, and a reply draft.

Gotchas

  • A 200 from the webhook only means the run started. Check the chat for the result.
  • Rotating the key breaks old senders, so update your form tool.
  • First-contact emails go to one recipient per message and include an unsubscribe link. That's built into Bot email.
  • Don't put the webhook key in public code.

FAQ

Does it update HubSpot or Salesforce? Only if that app is available as a connector and you connect it. This recipe uses a CSV so it works without any.
